Information for Chairs and Presenters

Communicating with your session

As the annual meeting approaches, we encourage all session chairs and presenters to stay in touch.  If there are any last-minute or unexpected changes, please contact your session Chair and the CEBRA office as soon as possible office@cebra.org

Communication options

From the active participants page, you can send direct messages to other delegates.  The recipient will be notified by email that they have received a message and can reply within the system.  In addition, from “My Account” there is an envelope icon that will display a red dot if there are messages.

If you prefer to contact your presenters directly by email, the CEBRA office will be happy to provide the email addresses should you require them.

Sharing papers

All presenters should share the latest version of their paper directly with their session Chair and discussant (if applicable) ahead of the conference.  We also encourage presenters to upload their paper to their profile page of the annual meeting website.

Parallel session time allocation

The time allocation for each parallel session is two hours and the Chair and organizing committee will determine exactly how to allocate the time.  Our general suggestion is as follows (unless otherwise directed by the committee and/or chair):

  • For sessions with 4 papers and no discussants: allocation of 20 minutes for presentation and 10 minutes for question and answer per paper.
  • For sessions with 3 papers plus discussants: allocation of 20 minutes for presentation with 10 minutes for discussion and 10 minutes for question and answer per paper.

To ensure the smooth running of the conference, please start and finish the session on time.

Presentation uploads and available facilities in each conference room

Important to note: All delegates are required to bring their presentations on a USB memory device, this applies even if you have already uploaded your presentation to the event portal.

All conference rooms for the panel and parallel sessions are equipped with a computer with USB ports, internet connection and a projector. Please use these facilities for your presentation and bring your presentation on a USB memory device. We recommend downloading the presentations on the computer desktop and opening it from there.

Please arrive at least 10 minutes prior to the start of the session to upload your presentation to the computer and allow time to address any unexpected issues.

Technical support

For the Panel sessions there will be AV technicians available to support with set up and any unexpected issues.

For the parallel sessions, AV technicians are onsite throughout the conference and in addition we provide student volunteers who are familiar with the AV systems in the rooms and can provide assistance.  Assistance can also be found at the registration desk.
